How to document work before you start
A useful approval record is created before the work—not reconstructed after a dispute. The goal is to capture enough detail that the customer, technician, office, and future reviewer can understand the decision months later.
Connect the request to the job
Record the customer, complete job address, and original contract, ticket, project, or work-order number. This makes the approval searchable and connects it to the rest of the business record.
Describe the exact work
- Identify what will be installed, removed, repaired, treated, or changed
- Include quantity and unit of measure when they make the price clearer
- State exclusions or conditions that could otherwise create confusion
- Record schedule impact when the decision changes timing
Use photos as explanation, not decoration
Attach the clearest photos of concealed damage, failed equipment, treatment areas, existing conditions, or requested upgrades. A few focused images are more helpful than a large set of unrelated job-site photos.
Preserve the complete approval trail
- Delivery destination and channel
- Customer view, question, revision, decline, or signature status
- Typed signer name and signing time
- Final signed PDF
- Provider download and searchable account history
Keep a durable copy
Download important signed PDFs and periodically export work-approval history to CSV. The online dashboard is convenient, while your own project records provide another durable copy.
